The European Academy of Allergy and Clinical Immunology (EAACI) is an association of clinicians, researchers and allied health professionals, dedicated to improving the health of people affected by allergic diseases. Comprising over 11’000 individual members and 52 National Societies, EAACI is the primary source of expertise in Europe for all aspects of allergy. The EAACI is a non-profit organisation based in Zurich, Switzerland, with an operational and international team of 15 employees. We are looking for a highly motivated and team-oriented Congress & Events Officer.

Your responsibilities:

In this role you are responsible for planning, preparation, execution and (post-)reporting of the assigned small and mid-sized events (focused meetings, allergy/winter schools and master classes). With our Events Team, you will closely collaborate with PCOs, DMCs and local suppliers as well as with Marketing & Public Relations and other stakeholders in our matrix organisation.

  • Logistical planning for the assigned events (e.g. communication with venue, ordering of F&B, furniture, decoration, room set-up, IT and AV)
  • Management of event budgets, contracts, invoices and negotiations with partners (PCOs and DMCs) and suppliers (i.e. hotel booking)
  • Development of RFPs (Requests For Proposals) for venues and collection of proposals
  • Organization of site visits and execution of site visits together with the local chair
  • Scientific programme handling, speaker invitations, abstract platform management
  • Support of the Project Manager IT and Membership with all needed information for the set-up of the meeting registration
  • Processing meeting registrations, payments, confirmations and visa letters for meeting delegates and faculty members
  • Onsite management
  • Planning and organization of social events
  • Production of printed matters in close collaboration with the Marketing Team
  • Set-up event apps together with app supplier and Marketing Team
  • Coordination and distribution of CME survey to participants after the meeting
  • Development of final meeting report
Your profile:
  • Cross cultural, international experience in congress and events business organized by medical society/association, non-profit organisation or related suppliers.
  • Bachelor’s degree preferably in international Business Administration or equivalent
  • Minimum two years of professional experience in congress & event planning and execution
  • Excellent budget management skills and good understanding of budgetary process
  • Strong in project management, excellent organisational and co-ordinational skills
  • Experience in congress compliance is desirable
  • Able to manage multiple projects at the same time across a calendar of events
  • Experience in working with exhibitors, suppliers and sponsors
  • Open minded team player with cooperative attitude, adaptable and flexible, works well underpressure, well structured, independent, respectful, loyal and pro-active
  • Willingness to participate in weekend assignments at international meetings, events and congresses
  • Excellent oral and written communication in English and preferably in German
